Hi, my name is David Loxam and I'm from Casserly Property Management. We specialise in Schools Property Management, offering a Planned Maintenance and Statutory Compliance Service Level Agreement.

 

We also offer a Reactive Service, assisting schools with their day-to-day maintenance needs. Now, this video is to let you know exactly how our Reactive Maintenance Service works, and how it can help free up your valuable time.

The Regulatory Burden

Now, our experience in schools is that facilities management of the building is often placed on the school business manager's shoulders with assistance from the site manager and the caretakers.

 

But naturally, sometimes things go wrong. You can turn up to work on a morning and there's no heating, perhaps there's a leak in the toilets or a blocked drain. . . or you've got a leak coming in from the roof.

 

The unavoidable time to manage this issue can seriously disrupt your schedule for the day, perhaps even longer. This is where our Reactive Maintenance Service will help.

 

It can run in tandem with our compliance service or it can be run as a standalone service. And as part of our reactive service, we would take over the management of the situation, minimizing any disruption and allowing you and your team to continue with your day as planned.

School Planned Maintnance service Explained

Your Dedicated Help Desk

Our Reactive Maintenance Service includes a dedicated help desk, which is operational 24 hours a day, seven days a week, 365 days a year, and once an issue has been highlighted, it can be logged via phone, via e-mail or via our online portal.

 

And each job will be given a priority, being either an emergency job, an urgent job, or even a general day to day job.

 

Raising a job via e-mail or via our portal also gives you the option to include any other information such as perhaps some photos, which can often speed up the diagnosis and repair time.

 

Now, once our help desk are notified of the issue, that job will be given a unique reference number and these requests will be monitored closely and the school kept up to date.

The Reactive Maintenance Process

Once a call out has been attended to, perhaps it requires additional or follow-on work. At this point, a follow-on quotation will be raised and sent off to the school for approval.

 

Once approved, that work will then be ordered by our help desk and managed thereafter.

 

Should any additional work require more than one quotation, i.e., it's above a certain threshold, these requests would then be passed to your facilities manager who would review and action accordingly.

 

Now, once a job has been completed, the invoice is received by us at Casserly Property Management and uploaded onto our portal for the school to access, download, and process.

 

All of this can be quite a burden on the school, on yourself, and our job is to manage that whole process so you don't have to.

 

We would save you time and offer you peace of mind.

Your Online Property Portal

Included within our Reactive Maintenace Service would be access to your own Online Property Portal where all details pertaining to your SLA are stored (check out the video).

 

This would include your service reports, certifications, any comments from the contractors following their visits, and any applicable remedial quotes following their visits.

 

We post Health & Safety Guidance, keeping you up to date with statutory information, as well as any news on upcoming maintenance bookings. Once a site visit is booked in with the school, it will go on the portal for your reference.
